Privacy notice

This notice explains what personal information TISS Email collects, why, who it goes to, and your rights under the Protection of Personal Information Act (POPIA).

The responsible party is TISS Email. Our Information Officer is Nkululeko Tsela, at info@tisscorporation.co.za.

What we collect

• About you: your name, email address, cellphone number, and your business's name.
• Your order: your domain, the plan, how many people, and your quotes, invoices and payment references.
• Your team: the names and email addresses of the people you ask us to create mailboxes for. Only give us details of people who've agreed to it.
• Our calls and messages with you: notes of what you asked us to do, and when.
• How you use this website, if analytics is switched on: pages visited and the kind of device, through Google Analytics cookies. This doesn't identify you by name.

We never see your card or banking details. You pay through PayFast, which handles them.

Why we use it

• To set up your email, create your team's mailboxes and support you: the service you ordered.
• To phone you, including phoning you back before we change an account, so nobody can pretend to be you.
• To email you about your order: your receipt, each step of your set-up, renewal reminders.
• To keep the invoices and records the law requires.
• To improve this website (analytics).

We don't sell your information, and we don't use it to advertise other companies' products to you.

Who it goes to

• Microsoft, which runs the email: your team's names, addresses and mailboxes are in a Microsoft 365 account we manage for you. Microsoft's handling of your email is set out in its own privacy statement.
• PayFast, which takes your payments.
• Our email delivery provider, which sends the emails about your order.
• Google, for website analytics, if it's switched on.
• The company that hosts this website and our database.

Some of these companies store information outside South Africa. We only use companies bound by data protection rules at least as strong as POPIA's.

Your email itself: we can manage your mailboxes' settings, but we don't read your email. We only open a mailbox if you ask us to, to fix something.

How long we keep it

• Your account and order details: while you're our customer, and for 5 years after, for tax records.
• Your mailboxes: until your order ends. After that Microsoft deletes them (see our terms, section 6).

Keeping it safe

Your information is only available to the people at TISS Email who need it to look after you. Passwords set on this website are stored scrambled (hashed), so nobody can read them, us included. We'll tell you, and the Information Regulator, if we find your information has been accessed without permission.

Your rights

You can ask us, free of charge, to:

• tell you what personal information we have about you, and give you a copy;
• correct it, or delete what we no longer need;
• stop using it for anything other than the service you ordered.

Email our Information Officer at info@tisscorporation.co.za. We'll phone you back on the number we have for you to confirm it's you, and answer within 30 days.

If you're not happy with how we've handled your information, you can complain to the Information Regulator (South Africa) at inforegulator.org.za.
